Staff Hiring Process

I.   PERMANENT HIRES

Full-time or part-time, Administrative, Clerical (CWA), Service (SEIU) and Security positions.

  • A.  REQUISITION - The Hiring Official is to submit and route the position requisition electronically through the Marist College on-line application system, PeopleAdmin

    • Note: If this is an existing position, a copy of the resignation letter must be submitted to the Office of Human Resources.
  • B.  RECRUITMENT

    • 1. RECRUITMENT PLAN - Strategic Recruitment will meet with Chair of the Search Committee to develop a strategic recruitment plan for the position which includes the following:

      • Review duties, responsibilities and requisite skills, and qualifications for the job posting.
      • Strategic external venues for advertisements.
      • Strategic network of professional contacts pertinent to the position (e.g. professional conferences and websites).
    • 2.  JOB POSTING - Position announcements are posted on the Marist College On-line Employment Application Site at https://jobs.marist.edu and on the School and/or Department's website.

  • C.  RECEIVING RESUMES - All applications must be submitted electronically through the Marist College on-line application system, PeopleAdmin. In the event that the Hiring Manager receives resumes or application materials, Strategic Recruitment is to be contacted to instruct the applicant to apply online.

  • D.  FINAL SELECTION - Once the final candidate has been selected, the official offer of employment can be extended only when the following steps are accomplished and documentation has been submitted to the Office of Human Resources:

    • 1. Through PeopleAdmin, the Hiring Manager needs to:

      • Change the final candidate's status to "interviewed/selected" with the selection reason of "Under review by AAO."
      • Identify the final candidate's name, hiring salary and start date (if known at the time) in the Hiring Proposal.
      • Advance the Hiring Request to the Affirmative Action Officer (AAO).
    • 2. The AAO will verify that diversity initiatives are met and through PeopleAdmin notify the Hiring Manager to make a verbal offer of employment.

    • 3. The Hiring Manager will make the verbal offer of employment to the candidate, contingent on the successful completion of all reference and background checks.

    • 4. Three Telephone Reference Questionnaires for external candidates are to be submitted to the Office of Human Resources. A minimum of one reference from the immediate supervisor is required for internal candidates.

    • 5. Strategic Recruitment will provide the selected candidate with the background check authorization form and new hire forms.

  • E.  NEW HIRE PAPERWORK

    • 1. Administrative (full-time or part-time)- The appointment letter is produced on the President's letterhead and routed appropriately for signatures by The Office of Human Resources.

    • 2. Clerical (CWA), Service (SEIU) and Security Positions (full-time or part-time)- Hiring Manager needs to submit a Notification of Hire Form to the Office of Human Resources.

II.   TEMPORARY HIRES

Full-time or part-time, Administrative, Clerical (CWA), Service (SEIU) and Security positions.

  • A.  RECRUITMENT - The Office of Human Resources will post ads in consultation with the Hiring Manager. Tracking of applications is the responsibility of the Hiring Manager.

  • C.  NEW HIRE PAPERWORK

    • 1. Administrative (full-time or part-time)- The appointment letter is produced on the Line Executive's letterhead and routed appropriately for signatures by The Office of Human Resources.

    • (The Department of Athletics - The appointment letter is drafted by The Office of Student Affairs and e-mailed to Strategic Recruitment for review and approval. Upon approval, the Office of Student Affairs will produce the appointment letter on the Line Executive's letterhead and route appropriately for signatures.)

    • 2. Clerical (CWA), Service (SEIU) and Security Positions (full-time or part-time)- Hiring Manager needs to submit a Request for Temporary Hire Form and the required supporting documentation outlined on the form to the Office of Human Resources.

III.   SHORT-TERM TEMPORARY HIRES

Full-time or part-time, Administrative, Clerical (CWA), Service (SEIU) and Security positions.

For temporary hires that are employed for less than six weeks (e.g. MIPO, special events, etc.), the Hiring Manager is to submit a Request for Temporary Hire Form, Application for Employment Form, three Telephone Reference Questionnaires, and resume to the Office of Human Resources.

IV.   PROFESSIONAL SERVICE AGREEMENTS
